PRESENTATION GUIDELINES

A full-length paper is required for each presentation (either oral presentation or a poster), to be published in the Proceedings. For adequate preparation, please refer to the attached Instructions to Authors and Paper Preparation Guide Sheets.

Final camera-ready form (on paper and by E-mail) must reach the Conference Administrators Office before July 1, 2007.

Oral Presentations
Each author will be allowed 20 minutes for his/her oral presentation (we encourage contributors to complete their presentations in 15 minutes, in order to allow 5 minutes for questions and answers after the presentation). It is expected that all presentations will be presented using Microsoft Powerpoint software with a common computer provided by the conference organizers. An overhead projector will be available by special request.

Poster Presentations
It is anticipated that there will be two poster sessions. The first will be on Sunday evening, August 26 and the second on Wednesday evening, August 29.

Display Panels
Each poster layout will be mounted on fibreboard panels that are approximately 6 feet wide x 4 feet tall. A table can be prepared on request, to support physical samples to be used in conjunction with the poster layout.

General Appearance
The display material can be either a number of separate units or a single sheet. Your fully completed poster presentation should be carried with you and not sent in advance or prepared at the conference site. Poster presentations normally include an abstract, captions and headlines, charts, tables, diagrams showing results and conclusions. Also include your contact data (name, institute, address, phone, fax, E-mail). Posters cannot be printed at the conference site.

Pictures and Graphs
As a general guide, all pictures, graphs or charts should be at least 8x10 inches (200mm x 250mm) in size. Present one idea per picture (graph) and include only supporting information.

Lettering
All poster lettering should be typewritten. Since your poster has to be read at distance of a couple of meters, use appropriate size lettering.

Set-up and Presentation
Two poster sessions are planned during the conference. Specific presentation times and instructions will be sent to applicants/attendees.

OFFICIAL LANGUAGE
The official language of the conference is ENGLISH.

PAPER PREPARATION GUIDELINES

1)General Information

Papers must be received in camera-ready form by July 1, 2007. PAPERS RECEIVED AFTER THIS DATE CANNOT BE INCLUDED IN THE PROCEEDINGS. Authors are responsible for the reviewing and editing of their paper. Papers must be 4 or 6 pages (not 3 or 5) , inclusive of tables and figures. A4 paper size or “U.S.” letter can be used. Please use the appropriate version of the attached Guide Sheets regarding the size of the margins and columns. Use Microsoft Word Version 5 or later to type your document.  It is preferable to send papers electronically and to the e-mail address below. If the document must be sent by regular  mail, package papers to prevent damage and send to:

2) Preparation of Papers

Typescript

(i) A4-Paper

Papers typed on A4 paper (210mm × 297mm) must have a 34 mm margin from top and bottom, 22mm from each side, two columns of 80 mm wide and 6 mm between the columns.

(ii) “U.S.” letter size
Papers typed on U.S. LETTER SIZE paper (8 1/2" x 11") should have a 1’’ margin all around, two columns of 3.125’’ wide and 1/4’’ between columns. On the first page of the paper, TITLE, AUTHORS NAME, ADDRESS and ABSTRACT are typed using full width of the two columns. See attached Guide Sheets. The typeface used is “TIMES NEW ROMAN” 10 pt or similar with single spacing and both margins justified. The first line of each paragraph is indented by 6 mm (0.25 inch). Leave one line space between each paragraph. Each page should be numbered at the bottom center with a pencil.

TITLE

The title of the paper should be in Times New Roman 18 pt bold, Initial Capital Letters, flush left, single spacing between each line. See Guide Sheets.

AUTHORS

The author’s name should appear one line space below the title in 12 pt bold, with the affiliation and address in 12 pt Regular Italic. Where there are multiple authors, leave one line space between each one.

ABSTRACT

Each paper must have an Abstract not exceeding 300 words. It should begin 108 mm (4 inches) from the top of the first page, be typed on full width of the two columns and having its title BOLD CENTERED, 10 pt CAPITALIZED and will not contain references to other literature. See example on Guide Sheets.

HEADINGS

Main section headings (e.g. INTRODUCTION, MATERIAL, ETC.) are in 10 pt bold, CAPITAL LETTERS, aligned against the left-hand margin of the column.

Sub-Headings

The Sub-Headings are in 10 pt bold, Initial Capital Letter, aligned against the left-hand margin of the column.

Sub-sub-headings

The Sub-sub-Headings are in 10 pt Regular italic with one Initial capital letter and aligned against the left-hand margin of the column.

TABLES

Tables must be numbered (in Arabic numerals) in the order in which they are referred to in the text. Each table should have a caption at the top in 10 pt regular, centered and should not exceed the margins of the text of the table. See example on Guide Sheets.

FIGURES

Figures should be numbered consecutively (in Arabic numerals )in the order in which they are referred to in the text, regardless of whether they are photographs or line drawings. The caption should be located below the figure in 10 pt regular, justified.

Photographs cannot be reproduced in color. If photographs are submitted they should be marked at the back of each photo. Also for reduction purposes, the KEY LINE FRAME as shown below MUST be in the same proportion as the photograph provided. If you have too many figures it might be a good idea to insert them all at the end of your paper. Lettering and line thickness for line drawings must be clearly legible and suitable for reproduction.

REFERENCES

References should be cited in the text by the author’s name and the year, e.g., “(Jones and Smith 1990)”. All literature references are collected at the end of the paper in alphabetical order of authors’ names. If several papers by the same author(s) in one year are cited, place a, b, c, etc., after the year of publication. The sequence of each entry is given in the examples below.
